EMPLOYMENT-RELATED PERSONAL INFORMATION
Adecco collects, uses and discloses personal information in the course of our employment relationship with temporary workers (you) in strict compliance with all applicable legal obligations. Below is a list of the personal information Adecco may collect from or about you and a summary how Adecco uses that information. On occasion, Adecco may disclose some of this information to a third party for processing; more information about that is set out below.

Social Insurance Number | Used to process payroll including making statutory remittances to various government ministries on account of income tax, Canada Pension Plan and Employment Insurance contributions, and to process Records of Employment. |
Date of Birth | Submitted to Canada Revenue Agency and printed on T4's to record pensionable earnings. The year of birth is masked upon entry into Adecco’s systems and is confidential and only accessible by authorized persons for tax purposes. If you apply for health benefits, it may be provided to Adecco’s insurer. |
Emergency Contact Information | Kept in case of a medical emergency at which time this individual may be contacted. If necessary, this information may be provided to medical or law enforcement officers. |
Banking Information | Used to deposit your pay into your bank account. |
Resume & Reference Information | Used to determine your suitability for an assignment with an Adecco client. Occasionally this information may be provided to a client when discussing your suitability for an assignment with that client. |
Documents proving eligibility to work in Canada | Used to confirm Canadian employment eligibility. These documents are saved into your personnel file which is stored on Adecco’s secure file servers located in the U.S.. |
Driver’s License and Driving Record | If your work requires you to drive a vehicle we will make a copy of your driver’s license and keep the copy in your personnel file which is stored on Adecco’s secure file servers located in the U.S. You will also be asked to sign a consent form, to allow us to receive a copy of your driving record. This record will also be kept in your file and will only be used for the purposes of verifying your eligibility for an assignment that requires you to drive a motor vehicle |
Certifications | If an assignment requires a specific certification, for example forklift drivers, we will require a copy of your certification and any renewals thereof, which will be kept in your personnel file and only used for purposes of qualification for a related assignment. |
Testing Results | The results of any testing conducted by Adecco will remain confidential. Clients are given only a summary of your skills as assessed by the tests and not the actual test results. If there are certain requirements specific to a client where your results are required, you will be informed that this information is being given. |
Performance Reviews | Any performance reviews conducted by a Adecco will be saved to your personnel file which is stored on Adecco’s secure file servers located in the U.S. If relevant to your assignment, the results of your review may be shared with an Adecco client. |
Pay Rates | Your pay rate is kept confidential within our internal database. This information is accessible to the client to which you are assigned. |
Credit and Criminal Approval Form and Results | The consent form bearing your name, signature and SIN is used to allow Adecco to investigate your credit and criminal background if these are relevant criteria for a specified assignment. A third party who is named on the consent form conducts the tests and the results will be communicated to Adecco by that third party. The consent form and results are locked and only accessible by branch staff. In some cases, a client to which you’re assigned will want access to these results and you will be notified in advance prior to such disclosure. If a client wishes to perform their own credit and criminal background searches, a separate consent form will be provided to you, as the test results will be communicated directly from the third party to the client. |
Accident/Incident Report | In the unfortunate event where a workplace accident occurs, Adecco will create a workplace accident/incident report detailing the event and any injuries sustained by you. We are required to collect and disclose this information by law to local Health and Safety authorities. Once this disclosure is made, the contents of the reports are kept in a secure location. |
Medical Information | In some very rare instances, such as a gradual return to work, we will need some very limited medical information in the form of functional limitation information, to enable your safe and gradual return to work. |
The foregoing information is kept in Adecco’s secure internal database which is protected by security protocols and safeguards, and accessible only by Adecco including its world-wide related companies and/or affiliates for the purpose of carrying out the Uses above.
Adecco may disclose any of your personal information to the police or RCMP upon their request in the course of an investigation, and this may be without notice to you. It may also disclose your personal information to a government ministry where required or authorized by law or to other parties upon legislated mandate or court order.
On occasion, certain employment-related functions may be outsourced to a service provider such as, for example, a healthcare benefits provider. In such a case, Adecco makes security arrangements with the service provider to protect personal information against such risks as unauthorized access, collection, use, disclosure, copying, modification disposal or destruction. It will enter an agreement with the party to govern the third-party’s use, disclosure, retention and disposal of the information and to ensure its handling of the information complies with legal security arrangements.
You may, at any time, request that we change the personal information you provided to us, or withdraw your consent for a specific use, although it is possible that such withdrawal will result in our inability to continue our employment relationship with you.
